Port Administrative Manager
The Municipality of Skagway is accepting applications for an Administrative Manager for the Port.  This is a full-time, year-round position, working forty hours per week and is eligible for municipal benefits.

 

WAGE RANGE: Grade 16, $39.77 to $42.83 per hour, rate of pay at appointment DOE not to exceed the current pay scale step #4.

The Port Administrative Manager provides essential financial, administrative, and customer service support for the Port Department. This position is responsible for processing port and harbor billing, managing and administering port grants, and preparing internal reports to support operational planning and decision-making. The role requires exceptional attention to detail, organizational skills, and the ability to manage multiple priorities effectively. The Administrative Manager will work closely with the Port Director to support operational standards and compliance with municipal, state and federal regulatory requirements.

 

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

·        Associate’s degree in business or a related field, or equivalent experience.

Broad administrative experience, including accounting, grant management, and confidential records management.
Proficiency in word processing, spreadsheets, databases, publishing, presentation, and internet-based software.
Strong verbal and written communication skills.
Proven ability to work collaboratively with diverse groups in high-pressure environments.
Ability to manage multiple priorities efficiently, maintain attention to detail, and work independently.
Skill in designing and implementing systems for tracking budgets, deadlines and reporting requirements.
Experience with grant applications, writing, and budget development.
Analytical skills to align project goals with funding opportunities and compliance requirements.
Capacity to manage rapid change and resolve conflicts effectively.
DUTIES AND RESPONSIBILITIES:

Perform billing for port and harbor revenues, including wharfage, moorage, storage, user fees, and rents.
Assist with municipal audits by preparing records and responding to auditor inquiries.
Assist with the development, writing, and submission of grant applications.
Oversee grant budgets and reporting requirements to grant agencies.
Complete all grant-related reporting and maintain compliance with deadlines.
Understand federal and state grant systems to ensure accurate and timely reporting.
Monitor and assess grant funding opportunities to ensure alignment with Port Department objectives.
Organize and maintain administrative files and ensure timely follow-up on time-sensitive tasks.
Support short- and long-range planning for port operations, including process improvements and regulatory compliance.
Draft and update policies, procedures, contracts, and agreements as directed.
In coordination with the Port Director supervise or coordinate the work of seasonal staff.
Interact professionally with the public and port users on behalf of the Port Department.
Provide professional responses to inquiries and maintain positive relationships with port users
Conduct research, prepare compliance reports, and summarize findings as required.
Plan and coordinate special projects, ensuring milestones are met and results are monitored.
Perform additional tasks as assigned by the Port Director.
